1. Entry related a. What types of organizations are allowed to participate? Hospitals from all over the region are encouraged to nominate themselves and enter their successful projects, programs, or best practices.
Healthcare associations, medical service consultants and suppliers, and others in the industry are also invited to nominate hospitals in the Award categories for specific projects, programs, or best practices in hospital management.
Participating hospitals must be headquartered in Asia-Pacific. Hospitals of non-Asian origin are also eligible as long as they have a major regional presence in Asia.
Back to top b. How can an organization enter? It is required that each project you submit should have a 1000-word summary description. This summary should state the name of the project or program, the category the project is being entered in and a short descriptive title of the project or program. It should also include the objectives of the project, describing what the organization hoped to achieve and how it went about the implementation. Please indicate the results of measurements, if any that were made in studying the problem and the improvement(s) being sought. Also please explain how the improvement was implemented, when and by whom. Finally, it is very important to include the quantitative and/or qualitative results achieved as a result of the project or program. Please see www.hospitalmanagementasia.com for a sample. We request that you prepare the summary in Times New Roman, font size 12, in A4 size paper format. Please send us a soft copy of this to arminefrancisco@oiceventsasia.com before 15 June 2007.
Back to top c. If an organization is operating in different countries in Asia and the project is implemented all over Asia , under what country should we enter? The entry should be submitted by the country that deserves the credit the most or where first implemented – the country the Awards secretariat will liaise with. In short it is up to you. But it must be by a legal entity duly incorporated in Asia .
Back to top d. Are we eligible to enter if our organization is based outside Asia but have branches in Asia? Yes, as long as the project is implemented in Asia and by a branch or subsidiary duly incorporated in Asia
Back to top e. Can one project be entered in more than one category? Yes, the project will be counted as X entries (depending on how many categories it is included).
Back to top f. Re-entering previously entered projects or programs
i. Can a project submitted previously and won, but still being implemented, be entered again? Yes, as long as the project is significantly enhanced in 2006 and from January to June 2007 and there is proof of it being so. The Judges will compare what was submitted before with the “enhancements” at this time.
Back to top ii. Can a project submitted previously and did not win, but still being implemented or enhanced, be entered again? Yes, as long as the project was SIGNIFICANTLY enhanced in 2006 and from January to June 2007. Thus, the program/s implemented on the said duration will only be the ones that will be considered by the judges.
Back to top 2. Submission related a. How many entries can an organization submit? An organization can submit as many entries as it wants to either in the same category or different categories.
Back to top b. Can we submit a project that has been “on going” for many years now? Yes, a project which is running for years can be submitted as long as it was significantly enhanced in 2006. We request that you scan and save any materials you are sending us in .pdf format on a CD-Rom.
ii. Please select the important pages and sections of any of the supporting materials mentioned in ( b ) above. iii. If your supporting material is a book or an annual report, please scan just the cover, the table of contents and the relevant page your project appears. iv. Same with any commercials or other videos you may wish to submit as supporting material. v. Send us four (4) copies of each CD where your supporting documents are saved or scanned. (The four judges of each category will be sent a copy each. vi. Other supporting materials could be but are not limited to copies of videotapes, brochures, annual reports, CD-ROMs, photos, press clippings, in-house publications, power point presentations, etc. Please send the 4 copies of each CD that has your supporting document and one set of the original hard copy materials via courier to: The AHMA Steering Committee.

Back to top f. When is the deadline for submission of entries? Deadline for submission of entries is until 15 June 2007. You may submit your entries online at http://www.hospitalmanagementasia.com/awards/awards_entryform.php, fax your entry form at (632) 819-3752 or email to arminefrancisco@oiceventsasia.com. After you send in your entry form, you have until 22 June 2007 to send us the supporting materials for your entries.
Back to top g. Will the deadline be extended? As a general rule, and except in special exigencies, we do not extend the deadline.
Back to top h. We just found out about the Awards and wish to enter, but the deadline is too close (or has expired). Can you give us more time? We regret to say that we cannot delay the deadline. As a general rule, and except in special exigencies, we do not extend the deadline.
Back to top i. Is there a fee for entering? There is no entry or processing fee. However should your organization win, we request that the CEO will make every effort to come to the Awards Night to accept the Award(s). That failing, at the very least a very senior executive.
Back to top 3. Search and Selection process a. Who are the judges? How will they judge? Or How do they pick the winners and merit awardees? Judges are volunteers and very senior executives from the pool of partners and speakers of Hospital Management Asia (HMA). They are formed into panels of three to four per category. They evaluate, discuss, look at the supporting materials, ask for additional information if needed, then make their selections.
The judges are guided (but not bound) by the score card that is published on the website at http://www.hospitalmanagementasia.com/awards/HM07AwardsJudgesScorecard.pdf . The scorecard is not intended to be used as a mathematical tool, but only to help the panelists have a starting basis for evaluating.
Their final selections go the conference committee who has final authority. The conference committee may seek a dialogue with any panel it so feels is necessary to clarify or to discuss the panels selections, prior to making a final decision. It is only in rare case however the decision of the panel will be overturned.
In the end it is still that the successful companies (winners and merit awardees) are those who in the OPINION of the judges and best fit the category criteria. Note that if there are no exceptional projects submitted in a category, the Board of Judges is not committed to give an award. However, if there are two projects in the same category that are equally meritorious, an award may be given to both projects as joint winners.

Back to top c. How are winners announced? Or is there an awards night? The presentation ceremonies will take place during the Gala Dinner and Awards Night of the sixth annual Hospital Management Asia on August 31, 2007, at the Dusit Resort in Pattaya , Thailand. Back to top d. How many winners will there be on each category? There are usually 1 winner and 2-3 merit awardees. However, if there are two projects in the same category that are equally meritorious, an award may be given to both projects as joint winners. Note that if there are no exceptional projects submitted in a category, the Board of Judges is not committed to give an award.

Back to top c. How many entries have been received and in what categories? In the interest of fairness to those who submit early, we DO NOT give out this statistic. But statistics for previous years are soon to be available at HMA-CQI sub menu.
Back to top d. Our organization is too small – can it still win an award? The awards program does not favor large or small organizations and all organizations have equal chances to win. It depends on how well the project or program meets the criteria and not the size of the submitting organization. In other words, the winning project or program, regardless of size, is simply one which in the opinion of the judges, best meets the criteria for each category.

Back to top h. What is a poster display? Awards Finalists will be asked to display their project's poster during the conference, in space provided by the organizers. The poster display aims to provide a venue for the finalists to showcase their award-winning projects, thereby giving them the chance to discuss about their winning projects and programs with the other participants of the conference.
Back to top i. What is the difference between a winner and a merit awardee? A winner is a successful organization who in the opinion of the judges best fits the category. Thus, winner gets the highest recognition from the judging committee. On the other hand, a merit awardee is equally meritorious to a runner up. Back to top
