1. Rules and Regulations

1. Eligibility
Entries must be for projects, programs, or services that were implemented or significantly enhanced from January 2007 to June 2008. In this sense, the awards are for the introduction of new projects, or for the improvements in 2007/2008 of existing programs and systems. In general, the judges favor new projects than enhancements. In all cases, there should be objective, quantifiable, and verifiable measurements as to the effectiveness of the project.
ONLY entries signed as true and correct by the most senior person in charge of Asian Operations of an overseas multinational or the CEO of Asian Companies will be entertained.

Participating hospitals must be headquartered in Asia Pacific. Hospitals of non-Asian origin are also eligible as long as they have a major regional presence in Asia.

3. How to write an Entry and what to include
An entry to the Asian Hospital Management Awards will only be valid if a Project Summary Form will be submitted. The summary should not be more than 1000 words and it should state the name of the project or program, the category (or categories where the project is being entered) and a short descriptive title of the project or program. It should also include the objectives of the project, describing what the hospital hoped to achieve and how it went about the implementation. Please indicate the results of any measurements, if any, that were made in studying the problem or improvement being sought, or any studies conducted or reviews made. Please include how the improvement was implemented, when and by whom. Finally what were the quantitative and/or qualitative results achieved to date as a result of the project or program.

• Category: Indicate the category in which you are entering this project. The awards categories are: Community Service Project, Customer Service Project, Human Resource Development Project, Internal Customer Service Project, Marketing, PR or Promotional Project, Patient Safety/Quality Medical Care Project and Departmental Service Improvement Project.

• Project Title: Provide a (descriptive) name by which you refer to this project.

• Objectives: Describe briefly in measurable terms what it is that you expected to achieve.

• Details of the project: Explain why the project was selected and describe the project well. Indicate what BEFORE measurements were made, how did the team go about their task, how long did it take, etc. Also indicate the positions and/or units of the involved team members (individual names not necessary).

• Implementation: Was the improvement implemented, how and when? (The awards are ONLY for projects implemented or significantly enhanced in 2007 /2008)

• Results: What were the quantitative and/or qualitative results achieved to date as a result of the business projects, programs and services? What did customers say? Is there concrete feedback?

2. Supporting Materials
For each category that you enter, please send information to support the program or project entered. All entries need to be accompanied by supporting data and documentation such as but not limited to details and background of the project, how the project was conducted, who participated, before and after analysis if any, etc. In addition, submission of CD ROMs or videos and audiotapes, press coverage and the like are encouraged. Where possible, the judges request for an indication and whatever information you can provide with respect to:

a. How the project got started and/or why did the hospital invest in the project?

b. How did the project get nurtured and what were the motivations?

c. What were the initial difficulties that came about in implementing the project and what were the bottlenecks?

d. The extent to which the project is integrated into the core strategy of the hospital.

Supporting materials MUST be in English or, if they are in another language, a certified translation must be provided. Videos, ads, printed matter, and other supporting materials should be submitted. Please note that supporting materials submitted will not be returned.

3. Categories and Criteria

Category Name and Criteria:

1. Community Service Project
An undertaking implemented or significantly improved in 2007/2008 that made a difference in the improvement of healthcare in the community. Is the project or program sustainable? Does the hospital merely provides resources or makes it an integral part of its community involvement. Does the hospital give of its management time and expertise. Is it innovative? More weight is given to how meaningful is it to the community it serves.

2. Customer Service Project
A customer service project implemented by the hospital in 2007/2008 that responded well to the needs of its clientele, drew praise from them, and/or positively projected the hospital as a quality service provider. The judges favor entries that also reduced costs, and/or did not require major capital expenditure. More weight is given to projects that are innovative (in relation to where the hospital is located and on the impact it had on the hospital’s overall service level to its clientele. Is it a meaningful improvement of its service considering the environment in which it operates.

3. Human Resource Development Project
A series of activities or a project undertaken by the hospital in 2007/2008 that was aimed at developing a large percentage of its people as knowledge-based workers. Is it a sustainable activity and did it achieve its goals? How innovative was the project and program. Did it have a lasting improvement in the skills of its employees? How meaningful was the development program to the employees? How useful is it in their work? Special weight is given to the percent of employees covered, how well it motivates employees to provide better service and how the training improves service.

4. Internal Customer Service Project
These are awards for any hospital department or unit that implemented in 2007/2008 any outstanding projects on how better to serve their co-departments or employees better. How well did the project look upon the other department(s) as a “customer”? Special weight is given to how innovative the project is, how well it reinforces the concept of “internal customer”, at no additional expense and how it improves service to its clientele.

5. Marketing, PR or Promotional Project
A project implemented in 2007/2008 that made an impressive impact on clients and the public, and/or that resulted in the hospital’s gaining recognition as an innovator or leader in the field, or that resulted in business generation. The emphasis here is on the new business that can be more or less attributable the project and what this is as a percent of the department or hospital’s revenue. In this sense, a department or center (and not necessarily a hospital wide program) that launched a successful campaign and can show results is eligible. More weight is given to how it used marketing tools to improve its revenue and least cost.

6. Patient Safety / Quality Medical Care Project
This award is for the hospital that introduced in 2007/2008 an outstanding project for the monitoring and improvement in the delivery of quality medical care. Projects for the reporting, deliberation, management, and prevention of Sentinel Events are included as part of this category. More weight is given to how much project or program improved patient safety and are there measurements to back this up. In other words the judges will particularly look at the percent improvement.

7. Departmental Service Improvement Project
A project successfully completed in 2007/2008 in any of the specialized (technical) areas of hospital management, such as Nursing, Laboratory, Radiology or in specialty clinics such as eye center, kidney center, etc. The project should show measurable results of having improved the service in such areas as reduction in medication errors, reduced waiting times, prevention of service defects, or faster results with relatively little or no capital outlay.

Important Submission Note

We request that you scan and save any materials you are sending us in Microsoft Word, Excel, Powerpoint or .pdf format on a CD-Rom. Please select the important pages and sections of any of the supporting materials mentioned above. If your supporting material is a book or an annual report, please scan just the cover, the table of contents and the relevant page your project appears. Same with any commercials or other videos you may wish to submit as supporting material.

To be clear: do send us four (4) copies of each CD where your supporting documents are saved or scanned and one set of the original hard copy materials. The four judges of each category will be sent a CD copy each. We keep the hard copies in the Awards secretariat for reference and as verification copies. Please make sure to list the attachments, CD-roms, published materials, annual reports tapes or other supporting information that you are sending together with the entry, including a more lengthy explanation, if you so wish to add.

Courier and customs charges must be pre-paid.

Note: The Awards do not recognize any particular hospital as the “best” in a particular category. The Board of Judges and Advisers state however that the project they have selected for a specific Award is an outstanding one that deserves recognition and that may serve as a benchmark for other hospitals. It follows that there may be more than one winner in a category, and conversely there may be none.
